About the Role:
A dedicated and professional Exams Administrator is sought to join the team. The successful candidate will provide a courteous and knowledgeable service for the Exams function, supporting enquiries from both staff and students. This role involves processing student examination entries, inputting data into the Management Information System (MIS), administrating student concessions, and assisting with the organisation and record-keeping of online and paper-based examinations.
Key Responsibilities:
- Provide professional, courteous, and knowledgeable service for the Exams function.
- Support enquiries from staff and students regarding exams.
- Process student examination entries and input data into the MIS system.
- Administer and maintain student concession files accurately.
- Assist with the organisation of all online and paper-based examinations.
- Plan and book Exam Invigilators.
- Ensure all necessary evidence is available in exam files.
- Assist in planning and executing large exam sessions for “National” exams.
- Handle all full and part-time Further Education exams enquiries in accordance with procedures and Service Standards.
- Dispatch accurate and full information to students in line with Service Standards.
- Process student registrations, claims, certificates, and enter details onto the MIS system.
- Maintain up-to-date knowledge of the course criteria offered.
- Ensure examination entries are processed to meet internal and external deadlines.
- Update the MIS system when results are received.
- Understand and adhere to the regulations and changing requirements of the examining boards used.
- Convey examination results and certificates to students and trainees with associated administrative recording.
- Collect, process, and record fees and payments as required.
- Maintain complete and accurate student files and records, both manual and computerised.
- Promote and adhere to Safeguarding and Health & Safety Policies and Procedures.
- Manage student conduct in accordance with policies.
- Promote the welfare of young people and vulnerable groups in all aspects of life.
- Actively promote and commit to best practice in equity, diversity, and inclusion.
- Contribute to and demonstrate the positive promotion and role modelling of core values, generic competencies, and professional behaviours expected of all staff.
- Undertake any other duties as required, commensurate with the post.
Qualifications and Experience:
- Previous experience in an administrative role, preferably within an educational setting.
- Strong organisational and record-keeping skills.
- Excellent communication and interpersonal skills.
- Proficiency in using Management Information Systems (MIS) and other relevant software.
- Knowledge of examination processes and regulations is desirable.
